Role-Based Access Control

- Owner. Full control over the workspace, including billing, member management, and the ability to delete the workspace. Typically assigned to team leads or project managers.
- Admin. Can manage members, create and edit all forms, and access all response data. Admins handle day-to-day operations without needing to touch billing or workspace-level settings.
- Editor. Can create new forms and edit forms they have been given access to. Editors cannot manage members or change workspace settings. This role suits team members who build and maintain forms.
- Viewer. Read-only access to forms and their responses. Ideal for stakeholders who need to review data but should not modify anything.
By assigning the right role to each team member, you maintain control without creating bottlenecks.
Form-Level Collaboration
Sometimes workspace-level roles are not granular enough. A team member might be an Editor in the workspace but should only have Viewer access to a specific sensitive form.
Form-level permissions override workspace roles for individual forms. You can invite specific people to a form with a particular permission level, or restrict access so that only designated collaborators can see a form and its data. This is especially useful for forms that handle confidential information such as compensation surveys or compliance reports.
Form-level collaboration also supports activity history, so you can see who made changes and when. This audit trail is essential for teams that need accountability and traceability in their data collection processes.
Shared Templates
When multiple team members create forms independently, inconsistency is inevitable. Different question wording, varying design choices, and incompatible data structures make it harder to aggregate and compare results.
Shared templates solve this problem. A template is a pre-built form that anyone in the workspace can duplicate and customize. Templates can include:
- Standard question sets for recurring surveys
- Pre-configured branding and styling
- Built-in validation rules and conditional logic
- Recommended field types and option lists
By starting from a shared template, every team member produces forms that are consistent with organizational standards. When a template needs updating, the change is made once and available to everyone going forward.
Workspace Invitations
Adding new members to a workspace should be simple and secure. Mobyform supports email-based invitations with role assignment at the time of invite. The invited person receives a link, creates an account if needed, and immediately gains access to the workspace with the permissions you specified.
For larger organizations, bulk invitations and domain-based auto-join simplify onboarding entire departments. You can also revoke access instantly when a team member changes roles or leaves the organization, ensuring that former members cannot access forms or data after departure.
Data-Level Permissions
Collaboration does not stop at form building. Teams also need to control who can view, export, and analyze the collected responses.
Data-level permissions let you separate form creation rights from data access rights. For example, an external consultant might need to build a survey but should not see the individual responses. Conversely, an analyst might need full access to response data without the ability to modify the form itself.
Key data permission settings include:
- View responses. See individual submissions.
- Export data. Download responses as CSV, Excel, or through API integrations.
- Delete responses. Remove individual submissions when needed for data hygiene or compliance.
- Access analytics. View aggregate statistics and dashboards without seeing individual responses.
