How to Create a Donor Pledge Form
Record fundraising commitments clearly while keeping pledges distinct from immediate payment collection.
How to Create a Donor Pledge Form
A pledge form records a donor’s commitment and the follow-up required to fulfil it. Make the distinction from a payment form explicit so donors understand what happens after submission.
Step 1: Identify the donor and campaign
Collect donor name, organization when relevant, contact details, campaign or fund, and whether the pledge is personal, corporate, or matched.
Step 2: Capture the commitment
Ask for pledge amount, currency, payment timing, instalments, and any restrictions. If a donor is choosing among funds, explain what restricted giving means and who can answer questions.
Step 3: Ask about recognition and consent
Provide clear options for public recognition, anonymous giving, and follow-up contact. Keep marketing consent separate from operational pledge communication.
Step 4: Create a reliable follow-up workflow
Assign an owner, promised date, reminder cadence, and payment route. Use statuses such as Received, Acknowledged, Reminder due, Partially fulfilled, and Complete.
Step 5: Reconcile responsibly
Export the pledge record with campaign, restrictions, owner, and fulfilment status. Reconcile received payments against the original commitment and limit access to donor information to the people who need it.
